A)General guidelines for both papers and e-posters:

  • Conference registration is mandatory for presenting author from India before abstract submission.
  • The international delegates have the option of submitting the abstract without registering for the conference. They have the option of availing AOCR related discounts on registration and travel bursaries if their abstracts are accepted.
  • Abstracts should be submitted through AOCR 2025 web-portal only. No fax copies, or e-mail submissions will be accepted.
  • Each abstract is limited to 300 words (excluding title, authors and affiliations).
  • A presenting author may submit up to 5 abstracts - maximum of 3 posters and 2 papers.
  • An abstract may only be submitted once. Duplicates abstracts (reporting the same data) that are submitted under different title or author will not be considered.
  • The first author shall be the presenting author; in addition, maximum of 5 co-authors are allowed.
  • The abstracts should be submitted in English language only.
  • The title should be in the sentence case.
  • Please avoid using abbreviations in the title. Please minimize the use of abbreviations in the main body of the abstract. Provide the expansion of an abbreviation when used first.
  • References can be included in the abstract but will be added to the word count.
  • An abstract should be sent as a word document, 12 font format using Times New Roman or Arial Fonts, as per the headings mentioned in the online submission portal.
  • Copyrighted material / Plagiarism / Privacy: The work should be an original unpublished work of the author(s). If any material (text, images, graphs, charts, etc.) borrowed from other sources, the authors are responsible to obtain appropriate permissions.
  • The sources of borrowed material need to be clearly labeled in the e-Poster / Slides, including full citations for any copyrighted material.
  • The identity of the patient (name, hospital ID) should not appear in any of the images. Appropriate patient consent and permissions should be obtained.
  • For submitting the abstract for paper/e-poster presentation, the author retains copyright to the content and agrees to give the IRIA and its academic wing ICRI - a nonexclusive, royalty-free, license to present the content on the IRIA / AOCR website / educational programs, and to archive the content for maintenance of the scientific record. IRIA will not sub-license the content to a third party.
  • The presenting author should give the consent whether or not the paper may be converted to e-poster presentation / other category at the discretion of the scientific committee.
  • The presenting author may opt whether the submitted oral paper be considered for the prize paper (competitive) category.
  • It is the authors' responsibility to review the submissions and ensure appropriate grammar and spelling.
  • Abstracts will be published in the congress abstract book (electronic / otherwise) only if the presenting author is registered.
  • Paper / e-poster which has been previously published / presented cannot be submitted.
  • All communications of acceptance / rejection / change of category status will be informed by email only.
  • Abstract review process: All abstracts are evaluated through a double-blind peer-review process. All abstracts will be reviewed by the members of the scientific committee and will be judged on scientific, research and/or clinical value, originality of work and its potential impact. The decision (acceptance / rejection / modification of category of abstract) by the scientific committee is final. No appeal will be entertained.
  • Presentation is expected to reflect the contents of your abstract. Substantial deviation from the published abstract or failure to present may bring necessary action as decided by the scientific committee.
  • Withdrawal of Abstracts: Any communications related to e-posters / papers and requests for withdrawal should be sent to the secretariat via email: abstract@aocr2025.org prior to the submission deadline.

 

B) Specific guidelines for Oral Paper presentations:

  • The delegates are encouraged to submit original Research studies for scientific oral paper presentation.
  • Duration of Proffered paper presentation is 6 minutes only.
  • Some of the abstracts in each specialty will be selected for prize paper presentations; for this section, the duration will be 8 minutes with 2 more minutes for discussion by the discretion of the judges.
  • Some of the paper abstracts may be converted to “I.Shorts” - which will be a 3-minute presentation in an open/informal setting during the conference.
  • Few of the paper abstracts may be converted to e-posters (“I.POS”), if the reviewers feel appropriate.
  • Once accepted, the time and hall number of the session will be informed closer to the conference date.
  • Total size of the presentation should not exceed 20 MB.
  • Maximum number of slides: 16 for proffered and prize papers (Max: 10 slides for 'I.shorts') including the title, concluding slide and references.

 

C) Specific guidelines for e-Posters - (“I.POS”):

  • E-Poster (I.POS) can be a scientific exhibit (I.POS.sci), educational exhibit (I.POS.edu), I.POS.cases, I.POS.signs, or I.POS.spotters.
  • Scientific exhibit (I.POS.sci):
    • A scientific exhibit is an original research paper. Scientific exhibits can be theme-driven research with a comprehensive report; a work-in-progress report of ongoing research of emerging ideas and techniques with preliminary results; or a brief report of a particular new aspect or understanding of clinical radiology.
  • Educational exhibit (I.POS.edu):
    • Educational exhibits should have substantial or novel educative value for the delegates. These exhibits should be designed to teach or review radiologic observations, pathologic correlations, procedures, techniques, treatments, and interventions or other aspects related to the practice of imaging and intervention. Examples include a review of a topic, pictorial essays, and “how-to” demonstrations. The abstract should reflect the educational aspect and end it by two or three teaching points related to the e-poster.
  • I.POS.cases:
    • Isolated case reports with at least 3 cases are necessary to be considered in this category. Unless the condition is very unique and of high educational value, the abstract may not be accepted.
  • I.POS.signs:
    • Designed to teach or review radiologic signs. Minimum of 5 and maximum of 10 signs based on a theme, system, imaging appearance, pathology, or organ is allowed. Maximum of 12 slides allowed in this section; the abstract should reflect the planned presentation and list various signs, reasons for the name, and educative value.
  • I.POS.spotters:
    • Designed to teach or review radiologic “Aunt Minnie” cases and typical findings based on a theme, system, imaging appearance, pathology, or organ; a maximum of 5 spotters per system is allowed per abstract. Each case is covered in a single slide with the answer on the next slide with an explanation (max 12 slides including the title and end slide). The abstract should enumerate the cases planned and explain the common theme underlying these cases and the educative value.
  • I.POS.play:
    • This is an opportunity for oral presentation (5 minutes) of selected high-quality posters (scientific or educational) in an informal setting in the main Poster Hall. It will be made available on invitation based on complete e-poster review and consent for the same; no separate abstract submission is necessary.
  • I.POS.print:
    • This is a printed poster display of selected high-quality posters in an informal setting in the main Poster Hall. It will be made available on invitation and acceptance of the same after reviewing the complete e-poster by the reviewers. No separate abstract submission is necessary.
  • Applied science presentations (under scientific I.POS):
    • Applied science presentations are limited to applied physics, techniques, statistics, commerce, economics, epidemiology, work culture, artificial intelligence, etc., which discuss or demonstrate practical applications designed to improve the clinical practice of radiology or the management of healthcare data. Applied science presentations may require an in-person presentation (I.POS-play).
  • Provide references as appropriate and use full sentences and bulleted items, as appropriate.
  • There will be prize/appreciation awards for posters in each specialty/category; these will be informed during the conference.
  • Once the abstract is accepted, an email communication will be sent to the presenting author. The entire e-poster (scientific/educational) (max 16 slides - including the first and last slide and max 12 slides for the I.POS.signs and I.POS.spotters), should be uploaded via the website, before the “I.POS” submission deadline date.
  • Submissions exceeding the number of slides, gross deviation from the abstract, and late submissions may not be accepted.
