Abstract Submission

General Guidelines for Submission

  • Abstracts must be original and must not be or have been published or presented at any other meeting prior to the 9th Annual Meeting of Asian Society of Gynecologic Oncology (ASGO 2024).
  • Abstracts must be submitted online via the website and indicate whether the abstract is for Oral, Poster, Surgical Video Presentation and Young Doctor Session.
  • Only the first author can submit an abstract.
  • Authors of accepted abstracts must be registered participants.
  • Each participant can present up to five (5) abstracts.
  • Abstracts must be submitted by the specified deadline. Abstracts submitted after the deadline will not be considered.
  • The ASGO 2024 Scientific Committee will consider the author's preference when deciding whether to accept the abstract for an oral or poster presentation.
  • Ethical considerations: Provide information on ethical committee approval and informed consent types for clinical research. The names and initials of patients or volunteers should not be used.
  • All accepted abstracts will be published in Journal of Gynecologic Oncology. (to be confirmed)

  • Case studies will not be considered for oral presentation
  • Abstracts stating “data will be discussed in the presentation” will not be accepted
  • Late-breaking abstracts (LBA) are reserved for highly relevant, impactful research whereby the data became available in the last three months; late-breaking abstracts will be presented in the plenary session (only three abstracts will be selected). Submission criteria are as follow :
    1. Late-breaking abstracts must follow the general abstract submission requirements (please refer to pages 5-6 of the current document).
    2. LBA presentation slots will be reserved only for high-quality, ground-breaking data.
    3. Accepted LBA must be presented orally at the ASGO Bali 2024
    4. The late-breaking abstract submission period is NOT an extension to the regular submission deadline
  • Trials in Progress (TiP) will be accepted as ePosters.

Abstracts Format

  • The title is limited to 25 words
    1. First letter should be capitalized
    2. Do not capitalize article words such as “a,” “the,” “and,” & “of” unless the article is the first word of the title.
  • All abstracts must contain the following information: Introduction, Materials & Methods, Results and Conclusion/ Implications
  • Abstracts should be no more than 400 words. Tables or figures are not allowed.
  • All abstracts must be submitted and presented in English (American usage only)
  • In terms of writing numbers and decimals, use decimal points (.) not commas (,)
  • Do not use abbreviations in the title of the abstract.

Abstract Acceptance

  • The Scientific Committee of ASGO 2024 reserves the rights to make the final decision of presentation categories and acceptance/rejection of abstract.
  • Confirmation of acceptance will be notified by email no later than October 29th 2024.
  • All accepted abstracts will be published in the official congress proceedings published by Journal of Gynecologic Oncology.

Surgical Film Submission

General Guidelines for Submission

  • Peer-reviewed Surgical Film submissions will be evaluated based on educational content and audio/visual quality.
  • Accepted films will be presented in either the Video Sessions
  • All films must also meet the following requirements:
    1. Films must be uploaded to YouTube and an open-access URL to the film must be provided in the specified field within the abstract submission site. Please click here for the tutorial on uploading YouTube videos.
    2. The film URL upload should be set up so that anyone using the link can view the film.
    3. Films cannot exceed 7 minutes, must be uploaded in MP4 format, must include either sound (recorded narration) or subtitles.
    4. Films must be free of commercial or product bias.
    5. Films must be uploaded in HD ( minimum dimensions accepted are 1280x720 (720p); 1920x1080 (1080p) and we suggest not compressing the file but leaving it in the original format. Please do not exceed the maximum length of 60 FPS.
    6. Films will be evaluated based on educational content and audio/visual quality.
  • In some cases, film presenters may be contacted additionally with a request to send their films directly to the Meeting Organizers if selected for presentation.

Abstracts Format (for surgical films)

  • The title is limited to 25 words
    1. First letter should be capitalized
    2. Do not capitalize article words such as “a,” “the,” “and,” & “of” unless the article is the first word of the title.
  • All abstracts must contain the following information: Introduction, Materials & Methods, Results and Conclusion/ Implications
  • Abstracts should be no more than 200 words. Tables or figures are not allowed.

Abstract Acceptance

  • The Scientific Committee of ASGO 2024 reserves the rights to make the final decision of presentation categories and acceptance/rejection of abstract.

Trials in Progress Submission

Trials in Progress (TiP) abstracts in all phases of clinical research (phases I to III) may be submitted to ASGO 2024. It is expected that abstracts submitted as a Trial in Progress are ongoing trials that have not reached any protocol-specified endpoints for analysis.

Title

The title is limited to 25 words and should be UPPER CASE.

Abstract

The abstract text is limited to 250 words. The text should be organized into three section headers as follows: introduction, methods, current trial status ( brief summary of the trial progress and current status)

Additional Note

  • Recruitment must have already begun or have been completed by the trial in progress before the submission deadline
  • Trial in Progress abstract submissions will be accepted as ePosters only.
  • Encore Trial in Progress abstract submissions are allowed.
  • The clinicaltrials.gov number or NCT number must be submitted with the abstract during the submission process.
  • Abstracts including results or preliminary data will not be considered.

 

Late Breaking Abstracts Submission

Late-breaking abstracts (LBA) submitted to ASGO 2024 will be considered for oral presentation

Submission Criteria

  • LBA must follow the general abstract submission requirements
  • LBA submission period is NOT an extension to the regular submission deadline.
  • LBA must present high-quality novel information
  • LBA presentation slots will be reserved only for high-quality, ground-breaking data.
  • Accepted LBA must be presented orally at the ASGO 2024 on-site in Bali

 

Abstract Submission Acceptance Categories

  • Oral Abstract Presentations

    A limited number of exceptional abstracts will be accepted for oral presentations (both regular and late-breaking abstract submissions). Presentations will take place during in an individual session set for oral presentations.

  • Focused Plenary Presentations

    Only a limited number of abstracts will be accepted for the focused plenary sessions. During these exclusive sessions, authors are requested to provide a brief oral presentation with only a few slides. The exact criteria will be communicated via Acceptance Notifications. Furthermore, the presenting authors are asked to create an ePoster to be posted to the ASGO 2024 ePoster Gallery using pre-defined requirements that will be communicated once accepted.

  • Featured Printed Posters

    Some abstracts will be selected to display a traditional printed poster in the on-site engagement area. Meeting registrants will be able to see the posters during the meeting, and Poster Rounds with the Professor will be organised. Poster presenters must also submit an electronic version of their poster for the ePoster Gallery prior to the meeting, following pre-defined requirements that will be shared once accepted.

  • ePosters

    An ePoster is an electronic poster that is displayed digitally rather than printed on paper like a regular poster. Meeting attendees will be able to review the electronic posters at the onsite ePoster stations, as well as through the ASGO 2024 virtual platform and mobile app. Poster presenters must submit an electronic version of their poster prior to the meeting, following pre-defined requirements that will be supplied upon acceptance. There are no set presenting dates or times for ePosters. Further information will be provided upon acceptance.

  • Surgical Films

    Accepted surgical films will be accessible for on-demand viewing at the surgical film cinema throughout the meeting, with a limited number of slots reserved for featured surgical film sessions.

 

Presentation Time

  • Oral presentations

    7-min each, followed by a discussion after every 3-4 presenters.

  • Poster presentations

    Poster size is W90xH120cm, please print and bring your own poster.

  • Surgical video presentations

    7-min well edited video with a title page and narratives.

    Further information on the presentations will be notified by emails.

Being selected to host the 2024 Asian Society Gynecologic Oncology Meeting (ASGO meeting) in Nusa Dua, Bali, Indonesia from November 29 to December 1, 2024, makes us extremely delighted and honored. It is our goal for all medical professionals who treat patients with gynecological cancer to come to Bali in order to discuss, exchange experiences, share research findings, and keep up to date on the latest developments in the field of gynecological cancer. A symposium and a pre-meeting courses will be held to enhance knowledge and skills during the meeting. In order to facilitate networking, a number of informal events have also been planned.
