FEE
There is no fee to submit an abstract.
CONFIRMATION
Abstracts must be submitted through the online abstract submission platform. Submission by any other means, such as mail or email, will not be accepted. Do not make multiple submissions of the same abstract. A confirmation with the abstract reference number will automatically be sent to the email address of the submitter. If after submitting an abstract you cannot find this email, please check your spam/junk folder.
PUBLICATION AGREEMENT
Authors of accepted abstracts agree to make their abstract(s) available on the conference website and mobile application. Authors who do not wish to make their abstract available on the website must notify the conference secretariat: wasog2025@intertaskconferences.com.
PRESENTATION AND PUBLICATION ELIGILITY
To be eligible to display a poster at the conference and to have your abstract included in the digital publication, the presenting author must register to attend the WASOG/AASOG 2025 Conference and pay any associated registration fees. All costs associated with travel to the conference location, lodging and meals are the sole responsibility of the presenting author. Authors not registered by May 15, 2025 may have their abstract withdrawn.
DEADLINE
Submissions must be received electronically through the online submission form no later than Sunday, February 16, 2025, 23:30 ET. Late or mailed submissions will not be accepted. Submitters may return and edit their submissions until the deadline.
LANGUAGE
Abstracts must be submitted in English. Please note that all conference sessions (including oral presentations) will be conducted in English.
ABSTRACT FORMAT
The maximum number of words is 400. Title, authors, reference and tables/images will NOT be counted. Only one table OR one image may be uploaded.
- Submission of an abstract constitutes a commitment by the author(s) to present their work.
- There is no limit to the number of abstracts an individual may submit.
- A submitter should not “split” data to create several abstracts from one. If splitting is judged to have occurred, scores of related abstracts will be reduced.
- Abstracts containing identical or nearly identical data submitted from the same institution and/or individuals may be disqualified.
- Abstracts with no data or incomplete data will receive a score of zero (0).
ANONYMITY
Only FULLY ANONYMOUS abstracts or case reports/series will be accepted for review. No identification of authors, institution of origin, geographic area, sources of funding, or author references may appear in the Title or Text. For example, do not state ‘the study was approved by the University of Ottawa REB’, rather, ‘Local Ethics Committee approval was obtained’.
All submissions MUST identify a presenting author, and the maximum presenters per abstract is one (1).
All correspondence will be sent to the submitter. It is their responsibility to communicate this information to any additional authors.
PRESENTATION FORMAT
All abstracts attaining the minimal passing score, will be invited to display a poster at the WASOG/AASOG 2025 Conference in Ottawa, Canada. Top scoring abstracts may be invited to also give a short oral presentation. All abstracts and poster will be published digitally on the Abstract site.
JUDGING
All abstracts will undergo a blinded review process by the WASOG/AASOG Scientific Program Committee. Authors should be careful to avoid submitting multiple datasets from one study as multiple abstracts. Multiple submissions from a single study or dataset will be excluded unless prior clarification and approval is provided. Abstracts with no data or incomplete data will be disqualified.
CONFLICT OF INTEREST DISCLOSURE
ALL authors of accepted abstracts will be required to submit a conflict of interest disclosure for inclusion in the final program after the judging process is complete. Requirements will be detailed within notification of acceptance, which will be emailed on or around March 24, 2025 to the submitter. Conflict of interest declarations must be completed by April 15, 2025 and presenting author registration no later than May 15, 2025.
